1. Scope and intended users

This Privacy Policy applies to the Les Calinous Android application, web application, and the supporting Firebase services used to operate them. Les Calinous is the operator responsible for the information described in this policy.

The App is intended for authorized adult administrators, teachers, and parents or guardians. It is not designed for children to create accounts or use independently.

2. Information we collect

Depending on a user’s role and the features used, the App may process:

Account and contact information

  • Username, optional contact email address, first and last name, telephone number, user role, active status, and assigned classes or linked children.
  • Firebase Authentication identifiers and records needed to sign users in. For parent and teacher accounts created or reset in the App, a recoverable encrypted copy of the current password is also stored separately so authorized administrators can view login details. These copies are not stored in readable form in Firestore and are not available to parents or teachers.

Child and family information

  • Child name, date of birth, sex, nationality, class, profile photo, scheduled entrance and check-out times, and parent or guardian links.
  • Allergies, dietary restrictions, emergency contact name and telephone number, and optional notes supplied for the child’s care.
  • Parent or guardian names and telephone numbers where recorded for authorized communication.

Attendance, care, and wellbeing information

  • Attendance and late status, check-out status and time, and the staff member recording the event.
  • Daily report information such as morning and afternoon mood, food eaten, sleep time and duration, bathroom counts, temperature readings, optional nursing-bottle amount, activities, and teacher notes.
  • Approval and moderation status for teacher-submitted reports, photos, and activities.

Photos, communications, and educational content

  • Photos uploaded for children or classes, upload time, uploader identity, class and child associations, approval status, and any applied watermark.
  • Messages, conversation participants, announcements and optional announcement images, calendar events, class activities, monthly objectives, menus, meals, and song or external-media links.

Device and technical information

  • Firebase Cloud Messaging device token, user identifier, and update time so the App can deliver notifications to the correct signed-in user.
  • Basic service, security, and diagnostic information processed automatically by Firebase and the user’s device, such as timestamps, request metadata, and authentication events.
The current App does not contain advertising SDKs and does not use personal information for advertising or user profiling.

3. How we use information

We use information only as reasonably necessary to:

  • create, authenticate, administer, and secure authorized accounts;
  • link parents or guardians to children and teachers to assigned classes;
  • operate attendance, check-out, daily reports, photos, activities, menus, objectives, announcements, calendars, and messaging;
  • review and approve teacher submissions before they are shared with parents or guardians;
  • send service notifications, including notices about new announcements or child-related updates;
  • respond to support, privacy, correction, and deletion requests;
  • prevent misuse, investigate security issues, maintain service reliability, and comply with applicable legal obligations.

Where applicable law requires a legal basis, processing may rely on providing the service, legitimate kindergarten operational and safety needs, consent or authorization from the appropriate adult, and compliance with legal obligations.

4. How information is shared

We may make information available to:

  • Authorized Les Calinous personnel: administrators manage the service and may view parent and teacher usernames and saved passwords, while teachers receive access relevant to their assigned classes.
  • Authorized parents or guardians: parents or guardians receive access only to children linked to their account and to content intended for them.
  • Service providers: the App uses Google Firebase services, including Authentication, Cloud Firestore, Cloud Storage, Cloud Functions, Cloud Messaging, and Hosting. Google processes data as a technology service provider subject to its terms and safeguards. More information is available on the Firebase privacy and security page.
  • Authorities or other parties when required: we may disclose information when reasonably necessary to comply with law, protect a child or another person, enforce our rules, or protect the security and rights of Les Calinous and its users.

We do not sell personal information. We do not share personal information with third parties for their own targeted advertising.

5. Children’s information

The App processes children’s information to support care and communication between Les Calinous, its authorized staff, and parents or guardians. Because this information may be sensitive, access is restricted by account role, class assignment, child relationship, and approval status.

Authorized adults must not enter or upload information about a child unless they are permitted to do so by Les Calinous and, where required, by the child’s parent or legal guardian. If you believe a child’s information was provided without proper authority, contact us so we can review and, where appropriate, correct or remove it.

6. Retention and deletion

We retain information only for as long as reasonably needed to operate the App, meet care and recordkeeping needs, resolve disputes, maintain security, and comply with applicable law. Retention can vary by information type:

InformationGeneral retention approach
Child and account records Kept while the relationship or account is active and afterward only as needed for operational, safety, dispute, or legal purposes.
Attendance, check-out, reports, messages, and planning records Kept for kindergarten operations and recordkeeping, then deleted or anonymized when no longer reasonably needed, subject to legal obligations.
Child and class photos Our standard operational retention target is 10 days from upload. Photos are scheduled for automated cleanup after that point. Because cleanup runs daily and providers may use temporary backup or soft-deletion systems, final removal may occur later.
Notification tokens Kept while needed to deliver notifications and replaced when the device token changes. Invalid or no-longer-needed tokens are removed or cease to be used.

Deleting a cloud photo does not delete a copy that an authorized user previously downloaded to a personal device. Those copies are controlled by the person or organization holding them.

7. Security and international processing

We use reasonable administrative and technical safeguards, including authenticated accounts, role-based permissions, Firebase security rules, and restricted access according to class and child relationships. Saved parent and teacher passwords are encrypted with a separate secret and can be decrypted only through an administrator-authorized server request. No storage or transmission method is completely secure, so absolute security cannot be guaranteed.

Firebase and its infrastructure providers may process information in countries other than the user’s country. Where required, such processing is subject to the safeguards and contractual measures provided by Google and applicable law.

8. Your choices and privacy rights

Subject to identity verification, the user’s relationship to the child, and applicable law, authorized users may ask us to:

  • provide information about the personal information we hold;
  • correct inaccurate or incomplete information;
  • delete an account or associated personal information;
  • restrict or object to certain processing where the law provides that right;
  • withdraw consent where processing relies on consent.

To make a request, email tnwnted@gmail.com with the subject “Les Calinous privacy request.” For security, we may ask for enough information to verify the requester’s identity and authority. We may retain limited information where required for child safety, legal compliance, fraud prevention, or resolving disputes.

Users can control notification permission through their device settings. Disabling notifications does not prevent in-app access to authorized content.

10. Changes to this policy

We may update this Privacy Policy when the App, our practices, or legal requirements change. We will publish the revised policy at this address and update the effective date above. Material changes may also be communicated in the App or by another appropriate method.
